How do I covert my PowerPoint presentation to flash?
To convert your PowerPoint presentation to flash, follow these steps:
  1. Select 'Import' option via File menu; OR click on the quick icon for 'Import' in the toolbar. The 'Import Files' window opens up.
  2. It offers dual options - you can either import a single file by clicking on 'Select file' button; OR import multiple files saved in a folder by hitting the button marked 'Select folder'.
  3. You can now see the list of the presentation(s) that you have selected to convert.
  4. Check out the location where your converted files will be saved by default. Click on the button marked 'Change', and browse to select a different location where your converted files will be saved.
  5. Click on 'Import Now' button.
  6. The conversion process starts, and the progress bar displays the conversion status.
  7. Once your presentation is fully converted, you can view the status 'Complete' in the column headed as 'Status'.
  8. To convert more presentation(s), click on the button marked 'Import More'.
  9. Click on 'Close'.
Will the audio in my PowerPoint presentation be converted?
Yes, authorPOINT TM Lite keeps your audio embedded using PowerPoint's Add Narrations feature and sounds embedded on animations.

How long does it take to convert a PowerPoint presentation into flash?
Conversion time is totally dependent on the size of the original PowerPoint file, and its makeup in terms of graphics, animations, sound, etc. However, we have found that most presentations take just a few minutes to convert.

What is the average file size reduction that can be expected with authorPOINTTM Lite?
The actual file size reduction will vary based on the presentation content. In some cases, we've seen compressions up to 90% of the original file size.

Is there a limit to the size of the presentation that authorPOINTTM Lite can convert?
No, there is no size limit of the presentation that authorPOINTTM Lite can convert.

Customize Output

  1. Select the presentation you intend to personalize. It opens up in the Slide View window.
  2. The right section of the 'Slide View' window displays the Presentation's Details.
  3. Hit the icon portraying a user (middle icon) to open the 'Presenter Information' tab. It displays the default information/ profile added by you through 'Options' window.
  4. Enter a title that signifies your role or position in the presentation.
  5. Enter your Name, Organization, and the Email address.
  6. You can add your image and logo by clicking on the link marked 'Browse' made available in both the 'Presenter's Image' and 'Presenter's Logo' field.
  7. To remove data from a field, you can click on the link marked 'Clear'. To remove data from all the fields, you can click on 'Clear All'.
I would like a different look and feel for the output. Do I have some options available?
Yes, plenty of options are available for you to choose. You can select a different layout and color of the output according to your preference. Follow the steps given below:
  1. Select menu item 'Options' via Tools menu. The 'Options' window opens up.
  2. Click on the 'Template' Tab.
  3. Select the color of your preference from the drop down menu in 'Select Color' field.
  4. Select the preferred layout from the 'Select Layout' field.
  5. To mark the selected layout and color as default template for the subsequent presentations, click on the button marked 'Set as Default'.
  6. Click on the button marked 'Ok'.

You can select a different template for the output of a specific presentation after it has been converted.

  1. Select the target presentation from the list of outputs available on the main window. The presentation opens up in the Slide View window.
  2. Go to the right section of the 'Slide View' window. There are three icons available that let you edit different kind of details of your flash presentations.
  3. Hit the icon for 'Presentation Setting' (last icon). This opens 'Presenter Settings' tab. The tab displays the default template that you selected through Options window.
  4. Select the template layout and color as per your preference.
  5. Click on the quick icon for 'Save' in the toolbar.
How do I ensure that the flash output displays good quality images?
To set the quality level of the images in the output, do as follows:
  1. Select menu item 'Options' via Tools menu. The options window opens up.
  2. Click on the 'Settings' Tab.
  3. You can see a slider in the 'Image Quality' field. This slider depicts the image quality level, with higher quality towards right. Adjacent to it is a selection box wherein you can select the preferred level of image quality. As you make your choice, the Image quality slider gets adjusted accordingly.
  4. Remember that if you use very high resolution images, the file size will be great, and then the output might take a while to play in the player.
  5. Click on 'Ok'. The Settings that you select will apply to all the presentations.
How do I improve/change the quality of images in my presentation after conversion to flash?
To improve the image quality for a specific presentation
  1. Hit the icon for 'Presentation Setting' (last icon) in the right-side section of the Slide View window. This opens 'Presenter Settings' tab.
  2. The tab displays the default image quality settings that you selected through 'Options' window.
  3. Set the Image Quality as per your preference.
  4. Click on 'Save' in the toolbar.
How do I ensure that quality of audio in the output is as per my preference?
To set the quality of audio for your converted presentation, do as follows:
  1. Select menu item 'Options' via Tools menu. The options window opens up.
  2. Click on the 'Settings' Tab.
  3. Go to 'Audio Quality' field. You have five quality parameters available in a drop down menu ranging from Very High to Very Low.
  4. Select the preferred level of audio from the drop down menu made available there. The selection that you make here goes for all the converted presentations.
  5. Click on 'Ok'.
How do I improve/ change the quality of audio in my presentation after conversion to flash?
To change the audio quality for a specific presentation
  1. Hit the icon for 'Presentation Setting' (last icon) in the right-side section of the Slide View window.
  2. This opens 'Presenter Settings' tab. It displays the default audio quality settings that you selected through the 'Options' window.
  3. Select the parameter for audio quality as per your preference.
  4. Click on 'Save' in the toolbar.
I don't need the narrations or rehearse timings included in the original PowerPoint in the output.
You can select not to use narrations/rehearse timings included in the original PowerPoint in the output by following the steps given below:
  1. Select menu item 'Options' via Tools menu. The options window opens up.
  2. Click on the 'Settings' Tab.
  3. Choose from two options available in Narrations/ Rehearse timings field. These are
    • 'Use if found', that is use Narrations/ Rehearse timings as they are in the original PowerPoint' and
    • 'Do no use at all', that is do not use Narrations/ Rehearse timings included in the original PowerPoint

This ensures that authorPOINTTM Lite keeps/discards (as per your choice) the rehearse timings/ narrations of all the presentations that are converted into flash and show the same in the output.

     4.   Click on 'Ok'.

If you intend to make similar settings for a specific presentation only, you can
  1. Select the target presentation from the list of outputs available on the main window. The presentation opens up in the Slide View window.
  2. Go to the right section of the 'Slide View' window. There are three icons available that let you edit different kind of details of your flash presentations.
  3. Hit the icon for 'Presentation Setting' (last icon). This opens 'Presenter Settings' tab.
  4. Select if you need the embedded narrations or rehearse timings of the presentation.
  5. Your selected settings will apply to that presentation only.
I have a PowerPoint presentation that contains speaker notes. Will the authorPOINTTM Lite allow people to view the notes after conversion?
Yes. authorPOINT TM Lite keeps the speaker notes of your presentation and makes them available to viewers.
To ensure that the speaker notes are displayed in the output of all presentations, do as follows:
  1. Select menu item 'Options' via Tools menu. The options window opens up.
  2. Click on the 'Settings' Tab.
  3. Check the checkbox in 'Speaker Notes' field. It ensures that all the presentations that are converted subsequently show speaker notes in the output.
  4. Click on 'Ok'.
To show the speaker notes in the output of a specific presentation,
  1. Select the presentation so that it opens in the Slide view window.
  2. Hit the icon for 'Presentation Setting' (last icon) in the right-side section of the slide view window. This opens 'Presenter Settings' tab.
  3. Check the checkbox in 'Speaker Notes' field.
  4. It ensures that the speaker notes of the presentation are shown in the output of the selected presentation.
Can I change the location where the flash output is saved by default?
Yes. You can change the default location where the converted presentation will be saved. You can either set a different default location wherein all the flash output will be saved or select a location for a specific presentation.
To change location where all the converted presentation will be saved
  1. Select menu item 'Options' via Tools menu. The options window opens up.
  2. Click on the 'Settings' Tab.
  3. The 'Default Location for Presentations' field displays the default location wherein your presentations will be saved. To change the same, click on the button marked 'Change'.
  4. The 'Browse for Folder' window opens up. Select the preferred location and click on 'Ok'.
  5. The selected location will now be displayed in the 'Default Location for Presentations' field.
  6. Click on 'Ok'.
However if you are looking to save a particular presentation at a different location, you need to select the location at the time of the import. That is, when you import a presentation for conversion, you can click on button marked 'Change' on the 'Import Files' window and select the location where the converted presentation will be saved.

I see a field named 'authorPOINT Updates'.
This field allows the application to check for latest updates from authorPOINTTM Lite automatically, without you having to check for the same. Just check the checkbox made available in the 'authorPOINTTM Lite Updates' field. The application will automatically check for latest updates from authorPOINTTM Lite, and install the same.
